Job description

Payroll Coordinator (Full-Time, Remote)

Remote — United States | Full-Time | $50,000 – $60,000 / year

Ensemble Performing Arts is seeking a highly organized, detail-oriented, and service-minded Payroll Coordinator to join our Finance team and support payroll operations across our growing portfolio of performing arts businesses. This employee-facing role helps ensure accurate, timely payroll across multiple pay schedules and locations while serving as a trusted point of contact for the employees and managers who depend on us to get pay right.

This is the right fit for someone who thrives in a fast-paced, high-accountability environment, enjoys working with data, and takes pride in both payroll accuracy and an excellent employee experience. You'll work through complex payroll scenarios, resolve issues before they become problems, and explain pay questions in a clear, friendly way.

Key Responsibilities

  • Employee Support
    • Serve as a first point of contact for employee and manager payroll questions, responding promptly, accurately, and with empathy
    • Help manage the payroll group inbox, responding to inquiries and escalating when necessary
    • Explain pay, deductions, and corrections clearly to employees and managers
    • Identify recurring questions and issues, and help improve guidance, templates, and processes
  • Payroll Processing
    • Prepare and process payroll accurately and on deadline, compiling data from multiple systems into the payroll system using Excel pivot tables
    • Track and process payroll adjustments, corrections, and multi-state requirements
    • Support triage and resolution of payroll errors and processing issues
  • Data Management
    • Maintain accurate employee records in Paylocity (EMS Operations)
    • Administer the employee incentive program through Snappy
  • Reporting & Compliance
    • Prepare and maintain regular payroll reports, such as overtime and healthcare lookback
    • Support government reporting requirements as needed

Who You Are

  • Service-minded: you explain pay, deductions, and corrections clearly and with empathy, and you leave people feeling taken care of
  • Accurate and detail-oriented: you take pride in getting pay right, every cycle
  • Comfortable with data: you enjoy pulling information together from multiple systems and making it make sense in Excel
  • Steady under deadlines: you juggle multiple pay schedules and a steady stream of questions without losing quality
  • Discreet and trustworthy: you handle sensitive employee data with care and sound judgment

Preferred Qualifications

  • 2–4 years of experience with core payroll functions, including processing across multiple pay schedules
  • Customer service experience supporting employees or managers directly, with a positive, solutions-oriented approach
  • Sound judgment in handling complex payroll situations
  • Strong Excel skills, including pivot tables
  • Excellent written and verbal communication and organizational skills
  • Strong analytical and problem-solving skills
  • Experience with Paylocity is a plus

Compensation & Benefits

The compensation range for this position is 50,000–60,000 per year, commensurate with experience. A competitive benefits package is provided, including medical, dental, and vision insurance; life and AD&D coverage; supplementary/voluntary benefit plans; Paid Time-Off; and a 401(k) with employer match.

To Apply

Please submit the following:

  • A resume
  • A brief cover letter outlining your interest in this role
  • Responses to our short questionnaire about your background. Applications without a cover letter and questionnaire response will be considered incomplete and will not be reviewed.

Diversity is a strength of our community. If you meet most but not all of the qualifications, we still encourage you to apply.
